ChennaiCFO ("we", "us", "our") respects the confidentiality of the people and businesses we work with. Financial information is sensitive by nature, and we treat it that way. This policy explains what we collect through chennaicfo.com and in the course of providing our services, why we collect it, who we share it with, and the choices you have.
This policy is issued in line with the Digital Personal Data Protection Act, 2023, the Information Technology Act, 2000 and the rules made under it. By using this website or engaging us, you agree to the practices described here.
ChennaiCFO is a professional financial services firm based in Chennai, India, providing virtual CFO, accounting, compliance, advisory and related services. For the purposes of data protection law we act as the Data Fiduciary for the information described below.
When you submit the enquiry form on this website, we collect your name, email address, mobile number, WhatsApp number, the subject you select and the message you write. When you call, email or message us on WhatsApp, we hold whatever you choose to tell us in that conversation.
To deliver our services we may receive accounting records, bank statements, invoices, payroll data, tax and GST records, statutory registers, identity and address documents required for KYC, board and shareholder details, and other business or financial records belonging to you, your company, your employees or your counterparties. We ask only for what a given assignment requires.
Like most websites, our servers and analytics tools record technical information: your IP address, browser and device type, the pages you visit, the page that referred you and the date and time of your visit. The enquiry form also stores the IP address it was submitted from, as a record of the submission and to help us deal with spam and misuse. Cookies and similar technologies are covered in our Cookie Policy.
We process personal data on the basis of the consent you give when you submit a form or engage us, and for the legitimate uses permitted by law, including performing the contract between us and complying with legal obligations. Where we rely on consent, you may withdraw it at any time by writing to office@chennaicfo.com. Withdrawing consent does not affect anything done before the withdrawal, and it may mean we can no longer provide part or all of a service.
Business and financial information you share with us during an engagement is treated as confidential. It is accessible only to the team members working on your assignment, it is not used for any purpose other than delivering that assignment, and it is not disclosed to any third party except as described in this policy or as you instruct.
We do not sell your personal data. We share it only in these situations:
Enquiries that do not lead to an engagement are kept for up to three years, so that we have a record of the conversation if you come back to us. Client records are kept for as long as the engagement continues and afterwards for the period required by law — generally eight years for books of account and supporting records, and longer where a specific statute, assessment or dispute requires it. When a retention period ends, records are deleted or anonymised.
We apply reasonable security practices to protect the information we hold: access is limited to people who need it, the website is served over an encrypted connection, systems are password protected, and paper records are kept in our office premises. No method of transmission or storage is completely secure, so while we work to protect your information we cannot guarantee absolute security. Please do not send passwords, full card numbers or banking credentials to us by email or WhatsApp.

Our services are meant for businesses and are not directed at children. We do not knowingly collect the personal data of anyone under eighteen. If you believe a child's data has reached us, tell us and we will delete it.
This website links to sites we do not control, including government portals and social media. We are not responsible for their content or their privacy practices; read their policies before sharing information with them.
Some of the service providers we use may store or process data on servers located outside India. Where that happens, we take reasonable steps to see that the data continues to be protected to the standard described in this policy and that the transfer is permitted under applicable law.
We may update this policy as our services, systems or the law change. The revised version will be posted here with a new "last updated" date, and material changes will be brought to the notice of active clients.
